Job Purpose

We are currently looking to fill a vacancy for a Project Administrator to join our expert team at NECIT.

We are currently seeking an organised and detail-oriented Project Administrator to join our growing team.

The ideal candidate will have excellent communication and multitasking skills, with the ability to manage and coordinate project tasks efficiently. This role is critical to the success of our projects, as the Project Administrator will liaise with team members, manage project documentation, and ensure smooth project workflow.

Job Description

Essential Duties and Responsibilities

  • Coordinate and manage project tasks, ensuring deadlines are met and team members are informed of their responsibilities
  • Maintain and update project documentation, including schedules, budgets, reports, and meeting minutes
  • Liaise with project stakeholders, including team members, clients, and vendors, to ensure effective communication and collaboration
  • Monitor project progress, identifying and addressing potential issues or delays
  • Assist in the development of project proposals, including researching, writing, and editing content
  • Support the project manager in the execution of their duties, providing administrative assistance as needed
  • Organise and schedule project meetings, distributing agendas, and recording minutes
  • Assist in the preparation of project status reports, highlighting progress, risks, and opportunities
  • Maintain a well-organised project filing system, ensuring easy access to all relevant documentation
  • Provide general administrative support to the project team, including data entry, filing, and managing project correspondence
  • Partake in internal auditing of the quality management system and assist the quality manager
  • Review CVs for qualifications and competencies
  • Populate global inspection matrix with inspectors’ personal details, qualifications and competencies
  • Create and maintain CV filing systems for each inspector per country
  • 28 days annual leave (+1 day per year for every year of service)

Must Have

Education/Knowledge, Skills and Work Experience Requirements

  • A minimum of 2 years of experience in project administration or a similar role
  • Strong organisational and time management skills, with the ability to prioritise tasks effectively
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
  • Demonstrated ability to work both independently and as part of a team
  • Problem-solving skills, with the ability to identify and resolve project-related issues
